Privacy Policy

TMS Athletics ("TMS Athletics," "we," "us") is a testing and readiness platform for high school athletic programs, operated from California. This page explains what we collect, how we use it, and who can see it.
Who enters this data
Coaches and program staff create accounts and enter data on behalf of their team, including rosters, testing results, and check-in responses. Athletes don't create their own logins. A coach can hand an athlete a private link to their own numbers and revoke that link at any time.
What we collect
- Account information for coaches and staff: name, email, and a password, stored as a one-way hash, never in plain text.
- Roster data a coach chooses to enter: athlete names, positions, and any attributes the coach adds.
- Testing results: times, distances, and other performance numbers entered on testing day.
- Readiness check-in answers: sleep, soreness, pain, and similar questions athletes answer before practice.
- Technical data needed to run the app: a login session cookie, and server logs used for debugging and abuse prevention.
We don't run advertising trackers or third-party analytics scripts on this site.
How readiness and wellness data is handled
Readiness answers, pain reports, and availability status are the most sensitive data in the app, and we treat them differently from performance results. They're visible only to coaches and staff with view or edit access on that team. They never appear on public athlete profiles, the recruiting board, the gym TV display, score cards, PDFs, or Excel exports, no matter what other data those surfaces show.
Public links
A few features generate a link someone can open without logging in: a personal share link for an athlete's page, a team readiness check-in link, a gym-TV display link, and an opt-in recruiting board link. A team's coach can turn any of these off or rotate them at any time, which immediately invalidates the old link. We ask search engines not to index these pages. The links themselves aren't secret, so treat any link you're given as something to share carefully.
Who we share data with
We use Resend to deliver transactional email: invitations, weekly digests, and password resets. Our database runs on infrastructure we operate ourselves, not a third-party managed database service. We don't sell athlete or coach data, and we don't share it with advertisers or data brokers.
If your program is subject to FERPA or a similar law
If you're a school or program bound by FERPA or a similar student-privacy law, you decide what goes into TMS Athletics and who your staff invites. We act on your instructions as the tool you've chosen, not as an independent party deciding what to do with your athletes' records.
Retention and deletion
Data stays in your program's account as long as the account is active. Coaches can delete individual results, retire an athlete into an alumni state, or clear a team's test history from inside the app. To request deletion of an entire account, or of data we hold outside the app such as email delivery logs, contact us at the address below.
Children's privacy
TMS Athletics doesn't market to or knowingly collect information directly from children. The coaches and staff who use the platform are adults responsible for their program. They decide what athlete information to enter, consistent with their own school or organization's policies.
Changes to this policy
If we change this policy in a way that matters, we'll update the date at the top and, for a significant change, tell account holders by email.
